What Is a Quotation?

A quotation (or quote) is a document a seller sends to a prospective buyer, proposing pricing for goods or services before any work begins or any commitment is made. It gives the buyer a clear picture of expected costs so they can decide whether to proceed. Unlike an invoice, a quotation isn't a request for payment — it's an offer, usually valid for a limited time.

How to Create a Quotation

  2. Add your client's details — who the quotation is being prepared for.
  3. Set the quotation number, date, and validity period — pick a currency that matches the proposal.
  4. List each item or service — quantity, unit price, and any per-item discount or tax.

What Should a Quotation Include?

Quotation Number

A consistent numbering system (e.g. QUO-0001, QUO-0002) makes it easy to track proposals, reference them in follow-up conversations, and match an accepted quote to the invoice you issue later. Quotation Validity Period

Since prices for materials, labor, or services can change, quotations are typically only valid for a limited window — commonly 15 or 30 days. Stating a clear "Valid Until" date protects you from being held to outdated pricing and creates a gentle sense of urgency for the client to decide.

Adding Taxes

You can apply tax at two levels: a tax percentage on individual line items, or one overall tax (labeled with whatever name applies in your region — GST, VAT, Sales Tax) applied to the quotation subtotal after any discounts. Use whichever matches how your local tax rules are usually presented to clients.

Adding Discounts

Discounts can be applied per item (useful for line-specific promotions) or as one overall discount across the whole quotation. Choose a percentage discount for proportional reductions, or a fixed amount for a flat-rate deduction.

Quotation Terms

Use the Terms & Conditions field to state your validity period, what happens if the client accepts, expected delivery or start timelines, and any conditions specific to the proposal. Being specific here reduces back-and-forth once the client is ready to move forward.

Quotation vs Invoice

A quotation is sent before work begins to propose pricing and get the client's agreement. An invoice is sent after goods or services are delivered, formally requesting payment. In short: a quotation asks "would you like to proceed at this price?" while an invoice says "here's what you owe for what was delivered."
